Senior Document Controller (IMS Specialist)
The Document Controller will be responsible for managing the full lifecycle of technical and administrative documentation. This role ensures that all project and corporate records are accurate, easily retrievable, and strictly compliant with ISO 9001 (Quality), ISO 14001 (Environment), and ISO 45001 (Health & Safety) standards.
Key Responsibilities
- IMS Compliance & Control: Maintain and update the Integrated Management System (IMS) documentation, ensuring all procedures, policies, and forms align with ISO standards.
- Document Lifecycle Management: Control the numbering, filing, sorting, and retrieval of electronic and hard copy documents (Drawings, Datasheets, Transmittals, and Technical Manuals).
- Quality Assurance: Conduct regular “gatekeeper” checks on documents to ensure they meet company formatting, revision coding, and signature requirements before issuance.
- Workflow Automation: Manage the Electronic Document Management System (EDMS) to track document progress, review cycles, and approvals.
- Audit Support: Act as a key focal point during internal and external ISO audits, providing necessary evidence of document control and traceability.
- Distribution & Transmittals: Manage the formal transmission of documents to clients, contractors, and internal stakeholders, maintaining a rigorous “Master Document Register” (MDR).
- Archive Management: Ensure the secure storage of historical records and manage the timely disposal of obsolete documents in line with retention policies.
Candidate Requirements
Education & Experience
- Degree: Bachelor’s degree in Business Administration, Engineering, or a related field.
- Experience: Minimum of 5 years in Document Control, specifically within the Oil & Gas or Petrochemical industry.
- ISO Expertise: Proven experience working within an IMS framework. Formal training or certification in ISO 9001, 14001, and 45001 is highly preferred.
Technical Skills
- EDMS Proficiency: Advanced hands-on experience with industry-standard software.
- Microsoft Office: Mastery of Excel (for tracking registers) and Word (for formatting procedures).
- Technical Literacy: Ability to interpret engineering document types (e.g., P&IDs, Isometrics, and Plot Plans).

- Process-Oriented: A natural tendency to follow and enforce strict workflows.
